Meeting Minutes
November 11, 2004

Dave Cavey called the HZBA monthly meeting to order on November 11, 2004 at 12:09 pm.

Officer Reports:

  1. President - Dave welcomed everyone to the meeting and we honored all Veterans on Veterans Day with a period of silence. Dave passed out a copy of our By Laws.
  2. Secretary - meeting minutes are provided via e-mail. See Sharon Devin with any corrections.
  3. Treasurer - Ending balance is $6352.77. Glenn made a motion to approve and Sharon made a second to the motion.

Old Business:

  1. Committee Vacancies - Need members to consider sitting on other committee meetings in the area.
  2. Golf Tournament - Dianne Fowler discussed the Golf Tournament. She wanted to know if an early June 2005 date was a good idea. Everyone agreed that early June was good. Dianne will work with that time frame.

Committee Reports

  1. Directory - It is distributed in the November 11 issue. Jay Huff commented being over budget by nearly $1000. Mary Pitt said the printer would like to attend a meeting and work with us on the Directory for the next distribution.
  2. Membership - 17 new members so far this year.
  3. Web Master - The website is up to date. David Cavey said Jeanne is working doing an audit to reconcile money received for dues against the member list. Need a joint meeting with HZBA and HVFC for better planning for the 2005 Fall Festival.
  4. Fall Fest - Mary Pitt distributed a report. The event was very successful.
  5. Raffle Basket - 3 more Baskets are being raffled just before Christmas. Contributions are needed. John has tickets for sale.

New Business:

  1. Hereford High Business Department - David said the Business Department is having a career week the week of Nov 15 and is looking for a business to speak to about 50 students on Tuesday, Nov 16. Woodhall Wine Cellars has volunteered.
  2. Christmas Party - December 9, 5:30pm - 7:30pm at Wheatley Associates Office on York Road (between Jenkins Funeral Home and Hereford Seafood). Al Copp is working with Hereford Seafood, Grauls, Food by Fire, Michael's Pizza, and Troyer's for food and drinks. He is asking that members contribute desserts. Also, members should invite a local business to this event for networking.
  3. Member Audit - Sharon worked up a spreadsheet of the members and their renewal month and presented it to Board Members on Tuesday, Nov 9. Jeanne is proceeding with an audit to match dues collected against the members on the list.
  4. 2005 Budget - In his Annual Report, David included the 2005 budget. Dennis made a motion to accept the budget and Glenn made a second to the motion. All voted in favor of the budget.
  5. Approval of Slate of Officers for 2005 - The Slate of Officers is also included in the Annual Report. Jay made a motion to accept and Dennis made a second to the motion.

Open Forum:
Fall Festival 2005 dominated this brainstorming session. Some suggestions included: Apple Butter demonstration, Blacksmith demonstration, Making Scarecrows, An Apple Press, Craft area for kids. It was mentioned that maybe the Fall Festival should be moved to early October. Jay brought up a good thought that the field (usually planted in corn) would probably not be ready for harvest in early October.
